Onboarding a client as an agency
A checklist for bringing a client onto Pivra, from choosing invite or create to confirming the attribution on your Revenue page.
Updated 12 Oct 2026
This checklist is for agencies in the Pivra partner programme, which is available to approved partners. It takes you from first conversation to a live chatbot your client pays for.
1. Decide whether to invite or create
In Agency โ Clients, add a client and choose one:
- Invite an existing client. The business already has a Pivra workspace. You send an invitation to the owner's email address. It lasts 14 days.
- Create a workspace for a client. You set up a new workspace, build the chatbot, then hand it over. The handover invitation lasts 60 days, and you can extend it once by another 60 days.
If the business has never used Pivra, you can also send them your referral link and invite them once they have signed up.
2. Agree the scopes with the client
Before you send anything, agree with the client what you will do and what access that needs. Manage chatbots is always included. The others are View conversations, Reply to customers, View customer data and Manage integrations. See Managing client workspaces for what each allows. Ask only for what the work needs.
Make sure you also have your own agreement with the client covering the work and their data.
3. The client accepts, signed in as the owner
The client opens the link in the email while signed in to Pivra as the owner of the workspace, with the same email address the invitation went to. They see your agency's name and the access requested, and can grant less. For a workspace you created, they sign up first if they are new to Pivra, then accept the handover and become its owner.
At handover, the client goes through each channel and integration you connected and keeps or removes it before accepting.
4. Build and test the chatbot
Add the client's knowledge, set the appearance and business hours, and use Test to try it. In a workspace you created, chatbots stay as drafts and cannot go public until the client accepts the handover.
5. Install
Add the chatbot to the client's website from Install, then publish it.
6. The client starts their subscription
The client starts their paid plan from their own Settings โ Billing & Usage page. Agencies cannot open billing. The client pays Pivra directly, at the same price as anyone else, and their invoices come from Pivra.
7. Confirm the attribution on the Revenue page
On Agency โ Revenue, check that the client is listed against your agency. Commission starts with their first paid invoice after the attribution, and is held for 30 days before it can be paid.
