Managing client workspaces as an agency
Switch between client workspaces, what each access scope allows, what agencies can never do, the activity log your client sees, and ending a link.
Updated 12 Oct 2026
Managing client workspaces is available to approved partners of the Pivra partner programme. Your client owns their workspace. You work in it as their authorised user, only within the access they give you.
Who in your agency can open client workspaces
Your agency's owners and admins can open every client workspace your agency is linked to. Members of your agency workspace cannot open client workspaces yet. If someone leaves your agency workspace, they lose access to every client straight away.
The workspace switcher
The workspace switcher at the top of the dashboard sidebar lists your own workspaces first, then Clients you manage. Pick a client to work in their workspace. While you are in it, the switcher shows "Managed for client by your agency" so you always know where you are.
- Each browser tab keeps its own workspace, so you can have two clients open side by side.
- With more than 8 workspaces, type to filter the list.
- If a client ends your access while you are in their workspace, your next action is refused and the dashboard returns you to your own workspace.
Access scopes
Every link includes Manage chatbots. The client chooses whether to add the others, and can change them at any time.
| Scope | What it allows |
|---|---|
| Manage chatbots (always included) | Create, edit and test chatbots; knowledge and sources; refinements and templates; appearance, popup and install; business hours; pricing and quotes settings; analytics, ROI and usage figures |
| View conversations | Read conversations, messages and the helpdesk |
| Reply to customers | Take over a live conversation and reply. Needs View conversations |
| View customer data | Read leads, contacts, customers, the Revenue Inbox, quote requests and bookings |
| Manage integrations | Set up automations, flows, agent actions, channels such as WhatsApp (Business plan) and integrations |
Publishing a chatbot is part of Manage chatbots. In a workspace you created for a client, chatbots stay as drafts until the client accepts the handover.
What agencies can never do
Whatever the scopes, an agency cannot:
- open billing, change the plan or see invoices;
- manage the client's team, roles or API keys;
- change security settings or two-factor sign-in for the client's people;
- delete the workspace or change its ownership (except deleting a workspace you created that was never handed over);
- open or change the client's Agency access page;
- export customer data in bulk.
Live views refresh instead of streaming
Pages that update live for the client, such as an open conversation or the notification feed, do not stream to agency users. Refresh the page to see new messages. This means that when access ends, nothing stays open.
The activity log your client sees
Pivra records what your people do in a client's workspace, and the client sees it on their Agency access page, for example "Acme Digital: Priya Shah updated chatbot Support bot". Repeated views of the same page are combined into one entry per hour. Your actions in the client's workspace are never anonymous.
Ending a link
An agency owner or admin can end a link from Agency โ Clients, on the client's page. The client is told by email.
When a link ends, whether you end it or the client revokes it:
- your access ends at once;
- the client's chatbots keep answering on every channel;
- automations and integrations your agency set up that send the client's data elsewhere are paused until the client reviews them;
- channels you connected, such as WhatsApp (Business plan), keep working, and the client chooses whether to keep or disconnect them.
Whether commission continues after a link ends depends on how the client came to you. See The Pivra partner programme.
